Introduction and scope

Sherwood recognises the importance of protecting the personal information collected from users in the operation of its services, and takes reasonable steps to maintain the security, integrity and privacy of any information in accordance with this Privacy Policy.
This Privacy Policy will help you better understand how Sherwood collects and uses the personal information you provide. By submitting your information to Sherwood, you consent to the practices described in this policy.
Our values
Your information belongs to you. As a user of our online software, you retain full ownership and control over the information you provide. We will not sell, rent, or share your personal information or any clinical data derived from your daily clinical activity with third parties, except where required by law or to fulfill our contractual obligations to you.
We protect your information from others using state-of-the-art security measures: encryption, firewalls, access controls and regular security audits.
Privacy by design: we integrate privacy considerations into every aspect of our software development process, minimizing the collection of unnecessary data and prioritizing transparency.
What information do we collect?
- Personal identification information from users, necessary to operate our services — at least their name and email address.
- We do NOT collect personal identification from patients or research participants. Healthcare professionals may collect it, but it is encrypted with a random private key that is not accessible to any members of Sherwood; the private key is only known to the user.
- We do not collect anonymised medical information from patients or electronic medical records entered by healthcare professionals and clinical researchers.
How do we collect information?
- When you register online or interact with our platform through the available forms.
- When you voluntarily complete a customer survey or provide feedback via our message boards or email.
- Via your browser’s cookies. We only use functional cookies to facilitate the login process and for security reasons.
How will we use your information?
- Contacting you with useful information or instructions about our products and services.
- Conducting data analytics.
- Improving or personalizing our services, products and communications.
- Investigating suspicious activity and keeping our site safe and secure.
- Providing direct marketing and assessing the effectiveness of promotions.
How do we store your information?
We use Amazon Web Services (AWS) as our server provider. The AWS server is located in Paris, France (EU). Access to the server is strictly controlled and limited to our designated system administrator. Sherwood keeps the medical data from patients and research participants until the responsible healthcare professional or clinical researcher revokes their consent.
